As a transcript proofreader, here are some of the key things I look for:
Spelling - This includes general misspellings, name misspells, and highly technical words such as medical terminology. I also maintain a list of the most commonly misspelled words I encounter in transcripts, and I will conduct a search for all of those words in your transcript as part of my final check-through process.
Punctuation - I will check for proper usage of commas and em dashes, consistency in hyphenation, correct punctuation within quotes and parentheses, and appropriate capitalization where needed.
Formatting - I verify all numbers to ensure they are correctly spelled out or presented in figures. I will review prefixes, suffixes, and dates to confirm they are positioned for optimal readability. I'll also look for any extraneous or missing spaces between words. Finally, I will check that the formatting of key components of your transcript—including cover pages, appearance pages, indexes, by-lines, Q&As, and certificates—are accurate and consistent.
Consistency - This involves looking for consistent punctuation, aligning dates and times, maintaining consistent spelling and numerical usage within sentences, ensuring uniform formatting, and verifying the consistency of any mentioned contact information.
Readability - This is crucial for many court reporters! Ultimately, your goal is to ensure your transcript flows smoothly and is easy to read. Checking for spelling errors, punctuation issues, correct formatting, and consistency—along with addressing significant errors like missing or extra words in sentences—will achieve this goal effectively.
At the end of the day, I will follow any preferences you have when it comes to your transcripts. Simply fill out a preference form here or send me one you already have!
Wondering how this all works? Start by sending me an email with your transcript details and the deadline you have in mind. I'll promptly reply to confirm the delivery date and the applicable rate. Once everything is confirmed, just send over your transcript in PDF format, and I'll take it from there! It's as straightforward as that.
I am a PDF proofreader; I will read the transcript in PDF format and will return the annotated pages to you in PDF format via email. Corrections will be in yellow and red. Pages should be up to 25 lines. At this time, I do not proofread to audio.
I am committed to adhering to your preferences! You can complete a preference form with me, or simply send me your existing list of preferences.
For large jobs (200+ pages) and/or jobs requiring a turnaround of less than 24 hours, please contact me first to confirm my availability to take the job before it is sent to me.
When sending a large job, if possible, please send it in 50 page “chunks” as they become available to proofread.
Jobs received after 7p.m. EST will be considered received at 7a.m. EST the next day.
Please note that the sooner a transcript is needed back, the more likely it is that some errors will be missed.
New clients will be billed immediately upon job completion. Regular clients will be billed on the 1st and 15th of the month. All payments are due within 15 days. A 10% late fee will be applied after 30 days.
